At MOOD.ai, your emotional wellbeing is deeply personal — and so is your privacy. This Privacy Policy explains how we collect, use, and protect your information when you use our mobile app or services.

We designed MOOD.ai to give you insight, not oversight.


1. What We Collect

We collect the minimum necessary to deliver meaningful wellbeing insights:

  • Mood Check-ins: Anonymous emotional data and check-in times
  • Team Context: Non-identifiable team or location labels for group insights
  • Device Information: App version, OS type, and basic usage diagnostics

If your access is provided by your employer: your employer may supply your name and email to create your account. These identifiers are used only for account setup and access management. They are never linked to your mood check-ins, chats, or reflections.

We do not collect IP addresses or other unnecessary personal data.


2. What Stays Private

  • Your Chats: We do not store chat conversations on our servers. Chats are processed in real time via the OpenAI API to generate responses. MOOD.ai does not retain these conversations, but OpenAI may process or temporarily store inputs under its own policies.
  • Reflections & Notes: Never uploaded or backed up by MOOD.ai.
  • Company Insights: Displayed only in anonymised, aggregated form and only when five or more people are in a group.

3. How We Use Data

We use anonymised and aggregated data to:

  • Generate group-level wellbeing insights for organisations
  • Improve features, performance, and emotional AI models (using trends, not individual data)
  • Ensure app functionality and troubleshoot issues

We do not:

  • Use your chats to train AI models ourselves
  • Associate check-ins with your identity
  • Sell or share your data with advertisers

4. Your Control

You remain in charge of your data:

  • No account? No problem. You can use MOOD.ai independently without logging in.
  • Uninstall = delete. Removing the app instantly deletes all data stored on your device.
  • Opt out anytime. If your account is provided by your employer, you can opt out by contacting your people team and request removal of your identifiers (name and email).
  • No consent = no insights. Company insights only include data from users who have explicitly opted in.

5. Data Storage & Security

  • Chats & Reflections: Stored only on your device.
  • Check-ins & Account Info: Anonymised check-in data and employer-supplied identifiers (if applicable) are stored securely in Supabase, using best-practice encryption.
  • Hosting: We use Netlify to host our platform and APIs.
  • AI Processing: We use OpenAI to generate chatbot responses in real time.

While no system is perfect, we apply strict security controls to protect your data in transit and at rest.

6. Transparency & Compliance

We comply with:

  • GDPR (EU)
  • CCPA (California)
  • APPs (Australia)

We commit to notifying users about significant privacy changes via in-app alerts or email. No hidden changes — ever.


7. Children's Data

MOOD.ai is intended for users aged 16+. We do not knowingly collect data from anyone under this age. If such data is found, we will delete it promptly.


Summary

We don’t see your chats. We know your feelings belong to you. And we will never, ever sell your data.

MOOD.ai is here to support your wellbeing, not to track or profile you.
